Comparing quotes without living in your inbox

Quotes arrive as PDFs, screenshots and voicemails. A better brief makes the answers comparable, and a better process makes the decision defensible.

A place setting on a reception table

Every planner knows the feeling: five vendors, five formats, and a weekend spent copying numbers into a spreadsheet so you can finally see which quote is actually the best. The problem is rarely the vendors. It is that they were each answering a slightly different question.

Ask one question, the same way, of everyone

Comparable quotes start with a single brief. Give every vendor the same date, the same guest count, the same scope and the same budget range, in the same format. When the question is identical, the answers line up on their own, and the differences that remain are the ones that actually matter.

Decide what you are comparing before you send

A cheaper quote is not always a better one. Before you send the brief, decide which factors will decide the outcome. Price is one, but so are what is included, how flexible the terms are and how responsive the vendor has been so far.

  • Total price and what is excluded from it
  • Payment schedule and cancellation terms
  • Availability and any minimum spend
  • Insurance, licenses and certifications
  • How quickly and clearly they replied

Keep the conversation attached to the quote

A quote on its own is a number. The follow-up questions, the clarifications and the small concessions are what make it a decision. When those live in separate email threads, you lose them. Keep the whole conversation next to the response it belongs to, so you can see why you chose who you chose.

The best comparison is the one you can explain to a client in a sentence.

Shortlist, then ask better questions

Rather than negotiating with everyone, narrow to two or three and ask the questions the quotes did not answer. Vendors respond well to a planner who has clearly read the proposal, and the shortlist stage is where the real terms are agreed.

Close the loop politely

When you award the work, tell the other vendors promptly and kindly. It takes a minute, protects your relationships and keeps the best suppliers willing to answer your next brief quickly.

A structured request, a clear set of criteria and a single place for every reply turn sourcing from a weekend of admin into an hour of decisions.
