The moment a client says yes is the moment their anxiety begins. They have made a big decision and are wondering what happens next. The planners who handle the first week well earn trust that lasts through every later decision.
Day one: confirm and welcome
Send a short, warm message the same day. Confirm what was agreed, thank them and tell them exactly what will happen over the coming days. People relax when they know what to expect.
Day two: the paperwork, made simple
Send the contract and the first invoice together, with a single clear instruction for each. Avoid attachments that need to be printed and scanned. The easier it is to sign and pay, the more professional the start feels.
Day three: the questionnaire
Send one well-built questionnaire instead of a stream of questions by email. Cover the essentials: contacts, key dates, the people who must be involved, preferences and anything that must not happen. The answers become the foundation of the plan.
- Who makes the final decisions, and who else should be kept informed
- Fixed dates and anything that cannot move
- Style, mood and examples they love or dislike
- Dietary, accessibility and family considerations
Day four: set up their home base
Give the client one place to find the timeline, the documents and the next steps. Invite them to it with a short note on how to use it. A calm shared space replaces dozens of emails.
Day five: book the first conversation
Schedule a kick-off call and send a short agenda. Use it to walk through the questionnaire, agree the first three milestones and explain how you will keep them updated.
The first week is when a client decides whether to relax.
Do these five things in order and the client moves from nervous to confident. They also give you a head start: contracts signed, details collected and expectations set before the real planning begins.
