What to put in a vendor brief so the quotes come back comparable

A clear brief gets faster, better and more comparable answers. A checklist of what to include, and what to leave out.

Vendors are busy. A brief that is vague gets a slow, generic answer, or none at all. A brief that is clear and complete gets a quick, specific quote that is easy to compare. The effort you put into the request comes back as better answers.

The essentials

Every brief should answer the questions a vendor would otherwise have to ask. Missing basics are the main reason quotes take days instead of hours.

  • Date, start and end times, and the location
  • Guest count, and whether it is firm or an estimate
  • Scope: what you need, and what you already have covered
  • Budget range, so vendors can propose something realistic
  • Style or mood, with a few reference images if you have them
  • The deadline for a reply and the date you will decide

Say what matters most

Tell vendors your priorities in order. If reliability matters more than price, say so. If you have a hard limit on budget, say that too. Vendors are far better at helping when they know what a good outcome looks like to you.

Ask for the same format back

State how you would like to receive the quote: a total price, an itemised list, the payment schedule and the terms. When every vendor answers in the same structure, comparison takes minutes rather than an evening with a calculator.

A good brief is a favor to the vendor, and it is repaid in better quotes.

Leave out what is not decided

Do not include details you are likely to change. Fluctuating numbers lead to repeated re-quotes and tired vendors. If something is still open, say it is open and give the date you expect to know.

Keep a template

Once you have a brief that works, save it. Starting every request from the same structure makes you faster, makes your requests recognizable to vendors and keeps the quality of answers consistently high.
